The booking process:
1. Submit a trip questions. Time to get excited about planning your dream vacation! Submit answered questions for trip request.
2. Planning. I will build and present you with a travel proposal. We work with you on navigating the current travel regulations.
3. Booking. Time to book! I will provide you with all the details on how to book your travel proposal. I offer low deposits and flexible payment plans.
4. All booked. You will be entered into our client portal to view your trip and make payments. I will send payment reminders about payment due dates.
5. Time to travel. 2 weeks before travel I will send your final documents. In addition, provide entry requirements, travel tips, helpful apps, and all the information you need to ensure a seamless vacation.
Congratulations—you booked an amazing trip! Now it’s time to prepare for travel. Below are a few of our frequently asked questions, as well as a few travel tips and tricks. Safe travels!
When will I receive my final travel details?
I send out the final travel documents two weeks prior to departure, which include comprehensive details about flights, accommodations, transportation, and any necessary travel requirements. If you haven't received this information within two weeks of your travel date, please contact me right away, and I will ensure it is sent promptly. Often, these emails may be overlooked or end up in spam or junk folders.
When do I need to check in for my flight?
You will need to check in 24 hours in advance of your flight.
Tip: This is also an excellent time to review your documents and pack your passports.
What time do I need to arrive at the airport?
I recommend parking two hours before your flight. This allows plenty of time to check bags and pass security. Please note that this can vary depending on your airport and travel dates (holidays, busy season). Some airports and/or travel dates may require extra time.
Tip: Plan how you will arrive at the airport early. If needed, pre-reserve your Uber/Lyft on the app. Be prepared if you will be using airport parking or an alternate parking lot. Remember tip money.
Do I have to pay for checked bags?
If you are booked through AA, United, or Delta, you must pay for your checked bags unless you have status with the airline or are flying first class. Southwest offers two free checked bags per person.
Tip: Plan out your vacation. You may be surprised for a short trip; you can fit all your belongings needed in your item to fit under the seat in front of you and an overhead bin item (small roller suitcase) that you are allowed free of charge.
My flight is delayed or canceled. Why is the airline being such a pain?
It happens, and it stinks. If you haven’t left for the airport yet, first check to see if they already rebooked you on another flight. If you are at the airport, proceed to the airline desk for assistance. They will be able to advise you on new flight options.
Why is the hotel/rental car company asking for a credit card?
Even when your room or car is prepaid, they will ask for a credit card to put on hold. This is an insurance policy for the hotel or rental company. The hold covers damage, extras billed to the room, etc. Upon checkout, the hold will be removed minus any purchases/charges. The hold can last anywhere from a few days to a week after checkout.
I arrived, but my room was not ready. What do I do?
For this instance, we advise you to always throw your pool/beach gear in your carry-on. Check your bags with the concierge, grab lunch and a drink, and enjoy the beach/pool until your room is ready.
I submitted a room request before arrival, and my room isn’t as requested. What can I do?
Please remember that a request is only a request and not a guarantee. Be sure to check with the concierge staff to see if any adjustments can be made to your room.
How do I keep my belongings safe?
Be sure to utilize the safe in your room. Be aware of your belongings in public areas, and only carry what you need.
What else should I do upon arrival?
This is a great time to contact the concierge desk. Ask about dinner reservations, scheduling spa visits, or any special activities that will make the trip excellent!
I can’t get a reservation at the restaurant I want, what should I do?
You can try to go early and see if a walk-in is available. You can also tip the concierge to let you know about cancellations. We find they are very helpful in finding open reservations.
I’m not at an all-inclusive. Are there any apps you recommend for dinner reservations?
Yes, download OpenTable. It’s a great resource.
When do I need to confirm my return shuttle?
Always confirm 24-48 hours before your departure. Double-check flight times and pick-up times.
Why are they picking me up so early for my flight?
Shuttle companies allow for traffic and delays. We recommend following their pickup times to ensure you have plenty of time for delays at the airport.

I authorize Under The Sun Travel to make payments on my behalf for my vacation package/wedding, as well as any fees agreed upon. If I cancel my vacation/wedding I understand I am subject to all applicable fees from the airline, tour operator, resort, and any additional services, as well as a $150 cancellation fee payable to Under The Sun Travel. The $150 fee is separate and will not be covered by insurance. I acknowledge I was offered travel insurance to protect my vacation investment, and if I declined insurance I have no travel protection.
I acknowledge all information on my reservation is correct. Including, but not limited to, names of each traveler matching passport or ID, dates, room category, flight schedule, etc. Any changes after deposit is paid can result in fees which will be my responsibility.
I knowledge I was provided information about the COVID entry guidelines for my vacation. I understand that it is my responsibility to complete all entry forms, obtain negative COVID tests, or provide proof of vaccination if required. Under The Sun Travel is not responsible for failure to complete entry requirements. I understand that failure to complete entry requirements may result in denial of entry into my destination. If I test positive for COVID in destination, I understand it is my responsibility to notify Under The Sun Travel via phone call to coordinate my travel home. I understand I must notify UTST prior to my return flight home via phone call or emergency after hours phone line if applicable. I assume any responsibility for any out of pocket expenses not covered by travel insurance if purchased.

ASSUMPTION OF RISK: I acknowledge that use of planning services from the agency (Under The Sun Travel), going on a trip, and participation in activities is at my own risk. Travel to many parts of the world may involve the risk of a variety of hazards to health and/or safety, including but not limited to disease, crime, terrorism and warfare. Because each traveler’s risk tolerance is different, all traveler’s should refer to objective third-party sources of travel information, such as that maintained by the U.S. Department of State (travel.state.gov) as well as (cdc.gov).
Please be aware that Under The Sun Travel is not the direct supplier of travel services to be rendered and said suppliers are legally deemed as third parties. As such, Under The Sun Travel, shall not be responsible for or in the event that said services as supplied the their parties are cancelled, amended or do not meet with your expectations. Under The Sun Travel Agency is not responsible for airline schedule changes and flight cancellations made by the airlines. In the event that that a schedule change, flight cancellation or flight delay impacts your vacation, we are limited to the recourse and options provided by the airlines. Traveler assumes all risk associated with a flight schedule if they fail to accept a schedule change provided by an airline.. Traveler assumes all risk Under The Sun Travel shall do our best to assist you in the event that third-party supplier fails to live up to your expectations, but your immediate contact with our offices is essential to whatever assistance we may be able to supply.
We reserve the right for mediation in the event of a client chargeback. Traveler understands that Under The Sun Travel does this because third parties seek payment directly from Under The Sun Travel. The cancellation fees to do cease to exist in the event of a chargeback. Thus, Under The Sun Travel, will be prompted to pursue litigation and incur attorney’s fees and costs which will be included in addition to all cancellation fees.
